That would not really make sense when you have a forum at the same time.
But for the purpose of managing the possible takeover of the forum: You only need a private server, or a group call/chat.
Technically: Yes, you violate the TOS.
But there is little risk if no one reports you, and that can not happen if it is not public.
In addition: If you only talk about the technical and legal aspects of managing a forum, there is no risk at all, bekcuse that does not violate the TOS
I guess Discord is the best option you have, because it allows group chats/and calls, and is therefore way more pleasant to use than PM and Mail.
On the other hand you don't need to share your mail adress or phone number.
